Onboarding is a strategic investment that directly impacts employee retention, engagement, and productivity. In 2025, companies that neglect onboarding risk losing top talent before they even settle in.

Phase 1: Pre-boarding essentials 

The pre-boarding period covers the time between a new hire’s job offer acceptance and their first day. HR professionals aim to prepare incoming employees for their first day, minimizing anxiety and ensuring they feel valued from the start.

  • Send necessary pre-employment paperwork and benefits information via a secure digital platform for pre-employment completion.

  • Ensure that all necessary equipment is ready and IT systems are set up before their arrival.

  • Send a clear schedule for the first day of week, including working time, who they will be meeting, training sessions, and any welcome events.ย ย 

  • Consider sending a welcome kit, which includes company merchandise, a welcome letter, and any tools or logins they may need to hit the ground running.

Phase 2: The welcome 

Then…itโ€™s the exciting first day of work. The goal of this phase onboarding is to educate new employees more deeply on company values, culture, policies, and safety procedures.

  • Provide a guided tour of the workplace, pointing out essential areas like the cafeteria, restrooms, and emergency exits.ย 

  • Have a detailed discussion about the job role, expectations, day-to-day tasks. and any immediate projects or responsibilities they will be taking on.ย 

  • Include a short video or interactive onboarding module that introduces the companyโ€™s mission, leadership team, and recent milestones.

  • Introduce new people to their team members. A team lunch during the first week is a good choice to build relationships with new persons.ย ย 

Phase 3: Role-specific training 

The third phase of onboarding can last several days or weeks. HR professionals should equip new employees with the necessary skills, knowledge, and resources tailored to their job functions.

  • Create a personalized training plan that addresses the specific needs of the role.ย 

  • Connect the new hire with a mentor who has expertise in their area. Also encourage cross-departmental learning to help them understand how teams collaborate.

  • Establish a schedule for regular check-ins with HR and the direct manager to discuss progress, address any challenges, and adjust the training plan as needed.ย 

  • Use learning management systems (LMS) to track progress and adapt training materials accordingly.

Phase 4: Integration into the company culture 

Next, HR professionals also help the new employees adapt to the company culture. It involves familiarizing them with the organization’s values and social norms to make them feel like part of the community.

  • Schedule regular team-building activities that fun and reinforce the collaborative spirit of the company.ย

Phase 5: Continuous support and feedback 

Now the new employee is actively engaging in their daily tasks. But the onboarding process doesnโ€™t end here. New hires require continued support and development to fully adjust and excel in their roles.

  • Conduct regular performance evaluations to assess progress, provide feedback, and set new objectives that align with the company’s goals and the employeeโ€™s career aspirations.ย

As remote and hybrid work continue to be the norm in 2025, onboarding needs to adapt to ensure that every new hire feels welcomed, connected, and supported, regardless of their location.

Some remote onboarding tips include:

  • Ship equipment and welcome kits in advance.

  • Host virtual meet-and-greets with key team members and leaders.

  • Use a centralized platform to track tasks, training, and feedback.

  • Schedule regular check-ins during the first few weeks to answer questions and offer support.
